How Can AI Analyze Overseas Customer Inquiries and Organize Purchasing Requirements?

Published · Updated

After receiving an overseas customer inquiry, international trade professionals first need to determine: What does the customer want to buy? What requirements have been clearly stated? What information is still missing that could affect product selection and quotation?

When emails are long, the language is unfamiliar, or there are many attachments, it is easy to miss key requirements. AI can assist with reading, translation, and organization, turning scattered information into a clear purchasing requirements table.

When using AI, retain the customer's original text. Ask AI to distinguish between “information already provided by the customer” and “information that needs further confirmation,” then have a business professional check the results.

I. What Can AI Help Us Organize?

When analyzing an inquiry, you can ask AI to perform the following tasks:

Task

Expected result

Summarize the email

Describe the customer's purchasing intent in a few sentences

Extract requirements

Organize the product, quantity, specifications, intended use, and destination

Break down requests

List the quotations, materials, and items for confirmation that the customer needs

Identify missing information

Identify information gaps that could affect product selection, quotation, and delivery

Find contradictions

Flag inconsistencies in models, quantities, or specifications between the email and attachments

Prepare for communication

Generate questions to verify with the customer and factory

AI-generated content should be treated as a working draft. Whether the equipment meets the requirements, the price is valid, and the delivery time is achievable must still be verified with the relevant people.

II. Prepare the Source Materials Before Analysis

Provide AI with all relevant content, including the email body, product links, attachments, and any necessary previous communications.

If the customer's email mentions an attachment but its contents have not been provided, clearly state “Attachment not provided” to avoid giving AI the impression that it has read it.

Before uploading materials, handle customer names, contact information, banking information, and non-public business materials in accordance with company requirements.

We recommend organizing the input as follows:

  • The customer's latest email.

  • Attachments for this inquiry and their file names.

  • Relevant previous communications, with dates indicated.

  • Confirmed product information.

  • The tasks you want AI to perform this time.

Keep the customer's original text and company materials separate to prevent AI from misrepresenting the company's standard configuration as a requirement raised by the customer.

III. Use a Clear Prompt

The following prompt can be copied and used directly:

Please act as an assistant for organizing international trade inquiries and analyze the customer email and attachments below.

Requirements:
1. Extract information only from the materials provided; do not add facts on your own.
2. For information the customer has not provided, enter “Not specified.”
3. Preserve the original meaning of ambiguous expressions and mark them “To be confirmed.”
4. Preserve the original numbers, units, models, and trade terms.
5. Distinguish between the customer's explicit requirements, optional requirements, and general inquiries.
6. If the materials contain contradictions, list the original text and its source separately; do not make your own judgment.
7. Clearly state if an attachment is missing or cannot be read.
8. List any inferences separately; do not mix them with confirmed requirements.

Please provide:
I. Inquiry overview: Summarize the purchasing intent in no more than 100 characters.
II. Purchasing requirements table: Include item, extracted result, supporting original text, source, and status.
III. A list of quotations and materials the customer has asked us to provide.
IV. Questions to ask the customer, in order of priority.
V. Items to verify with the factory or internally.

Customer email:
[Paste the original text]

Attachment contents:
[Provide the attachments; if none, write “Not provided”]

Relevant previous communications:
[If none, write “None”]

Adding “supporting original text” and “source” columns makes it faster for business professionals to check whether AI extracted the information correctly.

IV. Organize the Purchasing Requirements Table

Asking AI to extract information using fixed fields helps standardize record-keeping and makes it easier to pass the information to technical teams, procurement, or the factory for verification.

Information category

Information to extract

Product information

Product name, model, reference link, and intended use

Purchase quantity

Purchase quantity, sample quantity, and requirements for phased purchasing

Technical requirements

Specifications, materials, dimensions, performance, and conditions of use

Configuration requirements

Required functions, accessories, optional features, and customization details

Application scenario

Industry, site conditions, and installation requirements

Delivery location

Country, city, port, or delivery address

Timing requirements

Required purchasing, shipping, arrival, or in-service date

Quotation requirements

Currency, trade terms, and costs the quotation should include

Documentation requirements

Images, videos, specification sheets, drawings, and related documents

Information not provided should remain “Not specified.” Ambiguous requirements should be marked “To be confirmed”; AI must not select specific specifications on its own.

V. Separate Purchasing Requirements from Materials to Be Provided

Some content in a customer's email describes conditions that the product must meet; other content asks the seller to provide information.

When organizing the information, we recommend creating separate lists for:

Purchasing requirements:Record the specifications, quantity, configuration, conditions of use, and delivery arrangements required by the customer.

Materials to be provided:Record the quotations, specification sheets, images, videos, warranty information, and other documents the customer wants to receive.

Separating these two types of information helps prevent parameters the customer has asked about from being mistaken for parameters they have specified. It also helps business professionals check that their response is complete, item by item.

For items that cannot be provided yet, record their handling status and the person responsible.

VI. Generate a List of Follow-up Questions and Prioritize Them

After AI identifies information gaps, it can further organize the questions that need to be confirmed with the customer.

Ask first about matters that directly affect product selection and quotation, including product specifications, quantity, intended use, key configuration, destination, and timing requirements.

Next, based on the order's progress, confirm packaging, labeling, supporting documents, and other details.

Also prepare a separate list of internal verification items, such as:

  • Whether the product meets the customer's technical requirements.

  • Whether the standard configuration needs to be adjusted.

  • Whether the customization plan is feasible.

  • Whether the current price, inventory, and delivery time are valid.

  • Whether packaging and shipping documents are complete.

  • Whether the scope of warranty and technical support is clear.

AI may list many questions. Business professionals should select the few that are most necessary at this stage. There is no need to ask about every detail in the first reply.

VII. Manual Review: Check Five Types of Errors

1. Numbers and units

Check quantities, weights, dimensions, voltage, frequency, and other details one by one. Pay attention to whether units of measurement and time units are accurate.

2. Strength of requirements

Expressions such as “required,” “preferred,” “if available,” and “acceptable alternatives” have different meanings. Preserve these distinctions when organizing the information.

3. Customer requirements and seller commitments

A customer stating a requirement does not mean the company is already able to meet it. Record the customer's requirements and the results of internal verification separately in the requirements table.

4. Attachments and previous versions

Check whether AI actually read the attachments. If there is a version conflict, flag the difference and ask the customer to confirm the final requirement.

5. Missing information and inferences

If the customer has not specified a quantity, budget, payment terms, or purchase date, leave it as “Not specified.” Do not invent an answer just to fill in the table.

VIII. Use the Analysis Results for the Next Steps

After completing the review, you can organize the results into three working documents:

Working document

Purpose

Customer requirements table

Record explicit purchasing requirements and items to be confirmed

Internal verification checklist

Pass it to technical teams, procurement, or the factory to prepare product selection and a quotation

Customer response outline

Address existing requirements and ask key follow-up questions

We recommend adding the person responsible, confirmation date, and handling status to the requirements table. When the customer provides additional information, continue updating the same record to avoid duplicate work and version confusion.

You can also ask AI to draft an email based on a requirements table that has already been manually confirmed, but you should restrict it from making commitments on its own:

Based on the verified requirements table below, draft a concise and polite reply in English.

First, acknowledge receipt of the inquiry and briefly restate the key requirements;
then ask the listed follow-up questions.

Do not make commitments regarding price, delivery time, performance, or supply capability on your own.
For items that have not yet been verified, only say that they are being confirmed.

Verified requirements table:
[Paste the content]

The value of using AI to organize inquiries lies in making requirements clearer, reducing omissions, and clarifying next steps. Retaining supporting original text, marking items to be confirmed, and insisting on manual review are essential to using the analysis results reliably in customer communication and order follow-up.
